Information we collect
We collect account details, contact information, request details, uploaded documents and photos, issue descriptions, vehicle or property information you choose to submit, and basic technical information needed to run the website and apps. Depending on a request, submitted material may include parking events, location/property context, leases, repair records, police reports, citations, insurance information, passenger details, and injury or treatment information. Do not submit another person's sensitive information unless you are allowed to do so.
How we use information
We use information to create accounts, keep request records, review submitted materials, communicate with students or authorized family contacts, provide support, improve the service, transmit requested parking warnings, coordinate approved providers, prevent abuse, investigate incidents, maintain audit history, and protect the service.
What we do not do
We do not sell your personal information. We do not take ownership of your uploaded materials. We do not use submitted documents, photos, messages, or property information to take, sell, or claim your belongings.
Sharing
We share information only when needed to provide support, when you ask us to contact a parent, vendor, property, shop, insurer, or partner, when a service provider helps us operate Guardrail, or when required by law.
We limit a property, tow operator, or vendor to information needed for its authorized task. We do not give an operator a student's full account merely because the operator checks a plate. Before sharing sensitive request documents with an outside lawyer, clinic, insurer, shop, property, or other provider, we use the student's request or specific direction unless disclosure is required by law. Outside providers apply their own privacy practices to records they lawfully receive.
Security and retention
We use practical safeguards for account and request information, including password hashing and limited access controls. We keep information only as long as needed for the service, records, security, legal, or operational purposes. Housing move-in evidence is kept during the active housing term, archived when the term ends, and scheduled for deletion after two years unless a legal, security, or operational reason requires longer retention.
Security and application logs are normally kept on a rolling 60-day schedule unless an active incident or legal hold requires preservation. Logs are kept as accountability evidence rather than permanent copies of every uploaded document. Payment-card details are handled by the payment processor; Guardrail does not store raw card numbers.
Your choices
You can choose what to submit in a request. You may ask Guardrail to review, correct, or delete account or request information when deletion is practical and not restricted by legal, security, or operational needs. To request deletion, follow the steps on the Guardrail Campus account deletion page.
You may also ask which outside provider received request material and ask us to correct an inaccurate parking or account record. Some records may need to remain for an active dispute, payment, safety investigation, insurance claim, legal hold, or other lawful purpose.
